These tasks are not inefficiencies — they are the work that experienced property people are actually paid for. The objective is not to remove them but to free the people doing them from the mechanical work that surrounds them, so they have the capacity to do this work well.

    The third category is real and substantial. A property business that tried to automate everything would produce worse outcomes for landlords and tenants, because the judgement of experienced people is part of the service. The goal is to remove the work that does not need judgement, so that the work that does gets the time and attention it deserves.

    What can be addressed with the systems you already have

    Most property businesses already own more capability than they use. If you have Microsoft 365, you have SharePoint, Teams, OneDrive, Outlook, Power Automate, Forms and Planner — tools that can route enquiries, create tasks, send reminders, collect structured information and automate approvals. The question is rarely what to buy. It is usually what to connect and configure.

    In practice, that means looking at where information enters the business and asking what happens to it next. A maintenance request arrives by email.
