Sit with the person who actually performs the work and watch one real run from start to finish. Ask about the awkward cases. This is where the real process lives, not in a procedure document.
Define
Write down the workflow as it actually happens, including the exceptions and the controls. Capture where judgement is applied and where handoffs occur between people or systems.
Design
Produce an automation-ready map that shows what could be automated and what must stay human. You do this without prematurely choosing a technology, because the map comes first.
